Privacy Notice
1. Who we are
This notice is published by SDSI Business Systems, Inc., a corporation organized under the law of the State of California, United States. SDSI Business Systems, Inc. is the controller of the personal data described here. Rapid Estimator is a product of SDSI Business Systems, Inc.

Operations, storage and support for SDSI Business Systems, Inc. are in the United States. We have not appointed a Data Protection Officer and we are not required to appoint one. Privacy questions are answered at the address above.
The Rapid Estimator product site at rapidestimator.net is also operated by SDSI Business Systems, Inc. and publishes its own matching legal set. This notice covers sdsinow.com and the company’s own records.
2. Information we collect
The categories of personal data we collect are set out below. We apply a data classification to each category and we hold the smallest amount that answers the purpose it was collected for.
From visitors to this website. Our host writes a server log for each request: the internet protocol address, the time, the address requested, the browser user-agent string and the referring page. We use it to keep the service available and to investigate abuse.
From anyone who contacts us. The contact form collects name, optional company, work email, optional phone, type of help, a description of the problem, and preferred contact method. Submitting the form sends those fields to Formspree, Inc., which delivers the inquiry to SDSI so we can respond. Formspree also stores the submission according to the retention settings and plan associated with SDSI’s Formspree account.
From customers and licensees. We keep the company name, contact name, work email, telephone, postal address if you give us one, serial number, subscription dates and payment records needed to issue and renew a Rapid Estimator license, and the records needed to deliver custom-software and managed-IT work.
From Rapid Estimator on a customer PC. Rapid Estimator is Windows software that runs on the customer’s computer. Estimate files, cost books and job data stay on that PC. They are not uploaded as part of ordinary use. To verify that the subscription is current, the program sends the serial / license identifier to SDSI’s subscription database on our admin host at hometechadmin.holodeck2.com, a Windows server we operate in the United States. That check does not send estimate files, job addresses or the names of the customer’s customers.
From remote support and managed IT. If you start a LogMeIn Rescue session, a support technician can see what you show on your screen for the length of that session. We do not copy files off your PC unless you ask us to keep a copy to finish a repair. On-site and managed-IT work may give us access to the systems you ask us to support, only for that work.
From custom-software engagements. When we build or maintain software for you, we may receive business contact details and any personal data contained in files or specifications you send us.
3. What we do not collect
We do not collect sensitive personal information. We do not collect government identifiers, racial or ethnic origin, religious or philosophical beliefs, union membership, health or genetic data, sex-life or sexual-orientation data, precise geolocation, or the contents of mail, email or text messages other than messages you send to us. We do not knowingly collect anything about a child. We do not collect payment card numbers on this website. Purchases of Rapid Estimator are taken on rapidestimator.net, not here.

We do not process personal data for any purpose other than the ones stated here. If that ever changes we will say so in a new version of this notice before it takes effect.
5. Sale and sharing of personal information
We do not sell personal information, and we have not sold personal information in the preceding twelve months.
We do not share personal information for cross-context behavioural advertising, and we have not done so in the preceding twelve months.
We disclose personal data to the recipients named on our Sub-Processors page, including Formspree for contact-form delivery, and to nobody else except where applicable law compels a disclosure.
6. Opt-out route published
You may opt out of any sale or sharing of personal information, and of marketing email, by writing to pthomas@sdsinow.com or by calling (951) 461-8490. We honour the Global Privacy Control. Where your browser sends a GPC signal we treat it as an opt-out request, and nothing further is required from you. We act on an opt-out on receipt, not at the end of a cycle.
7. Automated decision-making
We carry out no automated decision-making that produces a legal effect concerning you or similarly significantly affects you, and we carry out no profiling of individuals. Custom software we write and Rapid Estimator calculate or record business data you enter; they do not make a decision about a person.
8. Artificial intelligence and training on customer data
There is no integrated AI in Rapid Estimator or in this website. AI-assisted work is used in a client engagement only when agreed for that work. We do not send contact-form data or customer data to a model provider without authorization. We do not use customer data to train models. We do not permit any provider to train on what you send us. Nothing you submit on this website, and nothing you type into software we supply, is used as training data.
9. Where your data is stored
Personal data held directly by SDSI is stored and processed in the United States. Contact-form submissions are also processed by Formspree under its published privacy and security terms. This marketing website is hosted by Cloudflare in the United States. License and subscription records are stored on SDSI’s Windows server at hometechadmin.holodeck2.com, which we operate in the United States. Backups of that database are stored in the United States alongside the system they protect.
10. How long we keep it — retention
Our retention period for each record is stated below. A record that has reached the end of its period is deleted. Deletion reaches backups, caches and archives on their own cycles, which complete within a further 90 days.

11. How we protect it
Personal data is encrypted in transit. Access to the license host and to mailboxes is limited to SDSI staff who need it. Our Security Overview sets out the controls in more detail.
Data breach notification: where a breach is likely to result in a risk to you, we will notify you without undue delay, and we will notify any regulator the law of the United States requires us to notify.
12. Direct marketing
We send direct marketing by email only to a person who has given us their address, or who is a customer. Every marketing communication carries a working unsubscribe route. You can stop marketing by replying, by writing to pthomas@sdsinow.com, or by using the opt-out route in section 6. We act on it on receipt.
13. Your rights
Under the California Consumer Privacy Act and other United States state privacy acts that apply to you, you have the right to know, the right to delete, the right to correct and the right to opt out. We answer a request within 45 days. We charge nothing for it. We ask only for enough information to be satisfied that the request comes from you.
To exercise any of these rights, write to pthomas@sdsinow.com or call (951) 461-8490. That is the named legal route for a privacy request. If you are dissatisfied with our answer you may appeal by writing to the same address and marking the message an appeal, and you may lodge a complaint with the California Privacy Protection Agency or your state attorney general.
14. When we process data on behalf of a client
In remote support, managed IT, and custom-software work we sometimes process personal data on behalf of a client. In that case the client is the controller and we are the processor. We process that data on the terms of our Data Processing Terms.
15. Changes to this notice
This is version 1.2, updated on 19 September 2026 to match the contact-form fields actually collected (name, optional company, work email, optional phone, type of help, problem description, and preferred contact method). When we change this notice we publish the new version at this address with the new date.
